This service helps you create automated workflows between your favorite apps and services to synchronize files, get notifications, collect data, and more.\u201d<\/p><p>There are some key points to mention from above definition:<\/p><ul><li>Power Automate lets you create automated workflows.<\/li><li>Power Automate acts as a process orchestrator that connects multiple steps to allow multiple applications and services to talk to each other.<\/li><li>The different applications that can be connected from Power Automate can reside inside the Microsoft 365 and Azure ecosystem (SharePoint, Outlook, Teams, Blob Storage) or completely exist outside of it \u2013 ie, external apps such as Hubspot, Gmail or SAP.<\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-de33d92 elementor-widget elementor-widget-heading\" data-id=\"de33d92\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h3 class=\"elementor-heading-title elementor-size-default\">Key functionalities<\/h3>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-fdb8262 elementor-widget elementor-widget-text-editor\" data-id=\"fdb8262\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p>Power Automate can cover a wide variety of use cases, that can range from simple tasks such as moving a file from Outlook to SharePoint to end-to-end business processes such as processing invoices sent by suppliers, submitting them for approval and automatically creating them in your ERP system.<\/p><p>To achieve above, Power Automate offers a set of features and functionalities that can be leveraged:<\/p><p>Integration across multiple services \u2013 applications inside Microsoft, modern third-party apps (Outlook, SharePoint, Hubspot, Google Drive) and even old or legacy systems that only operate through the user interface<\/p><p><img decoding=\"async\" src=\"https:\/\/powergi.net\/wp-content\/uploads\/2026\/07\/migrated-img-7816-6a4450e2f38da.webp\" alt=\"\"><\/p><ul style=\"margin-top: 0in;\" type=\"disc\"><li class=\"MsoNormal\">When it comes to \u201cmodern\u201d systems (either inside Microsoft ecosystem or external apps), Power Automate leverages the app\u2019s API web service to connect to the service and be able to send\/receive data from it. <span lang=\"ES-SV\">This can be done through either:<\/span><br><ul style=\"margin-top: 0in;\" type=\"circle\"><li class=\"MsoNormal\">Out-of-the-box connectors (already available in the Power Automate portal)<\/li><li class=\"MsoNormal\">Custom connectors (can be developed internally at the organization).<\/li><\/ul><\/li><li class=\"MsoNormal\">When it comes to \u201colder\u201d or legacy systems that do not have an API and which only option is to automate as if it was a human performing the task \u2013 ie, through clicks or keystrokes, Power Automate has a Robotic Process Automation branch to develop Desktop flows<\/li><li class=\"MsoNormal\">AI-Powered Automation. The Power Platform has a module for Artificial Intelligence implementation, where no programming background is required to set up: you can have different types of documents such as contracts or invoices analyzed or send a prompt to an agent to perform a task such as drafting a response to a customer complaint. If the event never happens, the flow will not execute.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-2d97354 elementor-widget elementor-widget-heading\" data-id=\"2d97354\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h3 class=\"elementor-heading-title elementor-size-default\">Scheduled flows<\/h3>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-7503421 elementor-widget elementor-widget-text-editor\" data-id=\"7503421\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p>Scheduled flows are, as their name indicates, workflows we can set up on a certain schedule \u2013 each Monday, on the 21st of each month, every two months, etc. When\u00a0 working with this type of flow, we ask Power Automate to perform actions only on the time and day for which it was set up.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-d569fca elementor-widget elementor-widget-heading\" data-id=\"d569fca\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h3 class=\"elementor-heading-title elementor-size-default\">Instant flows<\/h3>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-607e2a4 elementor-widget elementor-widget-text-editor\" data-id=\"607e2a4\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p>When we create an instant flow, we are setting up Power Automate to \u201csit\u201d and wait until we \u201ccall\u201d the flow or ask it to run \u2013 that\u2019s why they are called \u201cinstant flows\u201d, because they are executed on demand only when a user or the developer needs to.<\/p><p>For example, we can connect an instant flow to a Power Apps application, and connect a button in the app to an instant flow. This flow will <strong>only <\/strong>be called and executed when a user clicks on this button.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-1c4b703 elementor-widget elementor-widget-heading\" data-id=\"1c4b703\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h2 class=\"elementor-heading-title elementor-size-default\">How Does Power Automate Work?<\/h2>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-3a1bcae elementor-widget elementor-widget-heading\" data-id=\"3a1bcae\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h3 class=\"elementor-heading-title elementor-size-default\">Triggers<\/h3>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-9aa3519 elementor-widget elementor-widget-text-editor\" data-id=\"9aa3519\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p>A trigger is what kicks off a flow. Triggers are always the first component we add to a flow when we are creating it, the type of trigger we use will define the type of flow we\u2019re setting up (automated, scheduled or instant).<\/p><p>Triggers can be:<\/p><ul><li>When an email is received (automated)<\/li><li>When a file is modified in SharePoint (automated)<\/li><li>When a record is created in a SQL server table (automated)<\/li><li>Every monday at 8 AM (scheduled)<\/li><li>Every two months\u00a0 (scheduled)<\/li><li>When a Copilot agent calls a flow to pull data from a system (instant)<\/li><li>When a user clicks a button from a Power Apps application (instant)<\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-8965c86 elementor-widget elementor-widget-heading\" data-id=\"8965c86\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h3 class=\"elementor-heading-title elementor-size-default\">Actions<\/h3>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-ea6c6a0 elementor-widget elementor-widget-text-editor\" data-id=\"ea6c6a0\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p>Actions are the steps a flow takes after it\u2019s triggered. They define which \u201cactions\u201d the flow will perform. There is a wide variety of actions in the Power Automate portal, some example are:<\/p><ul><li>Send approval request to one or multiple approvers<\/li><li>Send an email notification (Gmail or Outlook)<\/li><li>Send a Teams message to a person or a group chat<\/li><li>Create a Task in Planner<\/li><li>Update a record in SQL Server table<\/li><li>Fill out a <a href=\"https:\/\/powergi.net\/blog\/populate-word-template-power-automate\/\"><strong>word template<\/strong><\/a> and convert to PDF<\/li><li>Add a new row to an Excel file<\/li><li>Create a client profile in your billing system<\/li><li>Create a new Jira ticket for follow-up<\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-939b83b elementor-widget elementor-widget-heading\" data-id=\"939b83b\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h3 class=\"elementor-heading-title elementor-size-default\">Out-of-the-box connec<\/h3>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-af01d42 elementor-widget elementor-widget-text-editor\" data-id=\"af01d42\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p>For us to be able to add triggers and actions, we need <strong>connectors<\/strong>. Connectors allows us to <strong>connect <\/strong>to all the different apps and services we\u2019ve been talking about: SharePoint, Outlook, Teams, SAP, Gmail and much more.<\/p><p>Connectors are the bridge between Power Automate and those Microsoft and external app, from Power Automate, we connect to the connectors, and the connectors connect to the app\u2019s API service:<\/p><p><img decoding=\"async\" src=\"https:\/\/powergi.net\/wp-content\/uploads\/2026\/07\/migrated-img-7816-6a4450e379c13.webp\" alt=\"\"><\/p><p><span style=\"font-size: 1rem;\">Custom connectors are those already created in the portal and they are ready to use. We can search for an app name and find many actions that can be performed.
