All companies have at least one team that needs to check emails regularly and classify them based on some type of criteria. One example is an Accounts Payable (AP) inbox, where messages may include invoices, account statements, payment status requests, or even promotional content. With Power Automate and AI prompts, this process can be automated, and we can have the Power Platform classify and organize emails in the back end, reducing human intervention to little or none.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-dbc73ab elementor-widget elementor-widget-heading\" data-id=\"dbc73ab\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h2 class=\"elementor-heading-title elementor-size-default\">Use case description<\/h2>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-33bd714 elementor-widget elementor-widget-text-editor\" data-id=\"33bd714\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\tLet\u2019s suppose we have an AP shared mail box, where gn organization receives a high volume of emails daily. Currently, team members manually review each email and categorize it into 5 categories:\n<ul>\n \t<li><strong>Invoices (OCR)<\/strong><\/li>\n \t<li><strong>Account Statements<\/strong><\/li>\n \t<li><strong>Payment Status Requests<\/strong><\/li>\n \t<li><strong>Advertisements\/Ignore<\/strong><\/li>\n \t<li><strong>Other<\/strong><\/li>\n<\/ul>\nThis is how the mailbox looks:<br><br>\n\n<img decoding=\"async\" src=\"https:\/\/powergi.net\/wp-content\/uploads\/2026\/06\/migrated-img-9457-6a4450bb8cd54.png\" alt=\"\">\n<br><br>\nWe want to automate email classification and email assignment to each folder by using Power Automate, with AI prompts (AI Builder \/ Copilot).<br>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-6b1a3de elementor-widget elementor-widget-heading\" data-id=\"6b1a3de\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h2 class=\"elementor-heading-title elementor-size-default\">Solution description<\/h2>\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-b7a4c51 elementor-widget elementor-widget-text-editor\" data-id=\"b7a4c51\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"text-editor.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t\t\t\t\t<p>To automate the classification of incoming emails in the AP mailbox described previously, we will build a Power Automate flow that uses an AI prompt to analyze each message and determine its category. The solution consists of two main parts:<\/p><ol><li>Create the prompt: we will create a custom text-based prompt. The prompt will analyze each email\u2019s <strong>body<\/strong> and return two key values:<ol><li><strong>Category name<\/strong> (one of: \u201cInvoice (OCR)\u201d, \u201cAccount Statement\u201d, \u201cPayment Status Request\u201d, \u201cAdvertisement\/Ignore\u201d, or \u201cOther\u201d)<\/li><li><strong>Mailbox folder ID<\/strong> (corresponding to the folder where the email should be moved)<\/li><\/ol><\/li><\/ol><p>Design \/ Build the workflow: connect the trigger to AP mailbox, call the AI prompt and move to the final folder.<\/p>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t<div class=\"elementor-element elementor-element-8859322 elementor-widget elementor-widget-heading\" data-id=\"8859322\" data-element_type=\"widget\" data-e-type=\"widget\" data-widget_type=\"heading.default\">\n\t\t\t\t<div class=\"elementor-widget-container\">\n\t\t\t\t\t<h2 class=\"elementor-heading-title elementor-size-default\">Step 1.
