Automated and standardized order intake

Filling out a Microsoft Excel file with repeating data is a very common scenario in many departments: employee timesheets, quotation proposals or expense reports.  

We worked with the sales team of a multinational company in the petroleum-derived materials industry to review their customer order intake process. The solution consists of a Power Apps application that the team uses to enter customer orders with consistent and accurate data capture. When the order is confirmed, a Power Automate workflow automatically generates an Excel file stored in SharePoint with the corresponding order details using a standardized template. 

The template had many calculations and validations going on, so the operations team no longer needs to spend time doing manual checks and reviewing lost emails and unstructured data. This automation decreased order processing time, improves data capture, and provides a centralized repository of all orders. 

This automation can also be applied to Microsoft Word templates.

What is Power Automate?

Microsoft’s official definition  is “Power Automate allows you to optimize your business processes across your organization and automate repetitive tasks. This service helps you create automated workflows between your favorite apps and services to synchronize files, get notifications, collect data, and more.” 

Our key take-aways from Microsoft’s official description of Power Automate are: 

  • With Power Automate, you can create automated workflows. 
  • Power Automate acts as a process orchestrator that connects multiple steps and allows multiple applications and services to talk and connect to each other. 
  • Different types of applications can be connected from Power Automate: 
  • Apps that reside inside the Microsoft 365 and Azure ecosystem (SharePoint, Outlook, Teams, Blob Storage) 
  • Apps that completely exist outside of it – ie, external apps such as Hubspot, Gmail or SAP. 
  • Legacy applications, desktop apps in your machine or websites.

Power Automate has two main branches, Cloud and Desktop. 

  • Power Automate Cloud is Power Automate’s tool for Digital Process Automation and it enabled automation of processes that involve modern applications that can communicate via APIs. Power Automate Cloud can be accessed through make.powerautomate.com and build all automations on a web browser. Automations built in Power Automate Cloud run in the back-end.
  • Power Automate Desktop is Power Automate’s tool for Robotic Process Automation and it helps automate tasks that replicate human actions on a desktop (aka a with Power Automate Desktop you can build robots).  Automations built in Power Automate Desktop need a machine to run on and can run with (attended) or without (unattended) human supervision. 

The short answer is: Power Automate is the tool to build workflows, and Copilot Studio is the tool to build agents.  

But in reality, there is much more, Power Automate is a very robust tool, and it can be used from Copilot Studio to create Agent Flows and enhance agents with more capabilities. 

Also, many AI features can be implemented from Power Automate and can be combined with traditional rule and workflow development to create more impactful automations.

Defining if you need an agent, a workflow or a combination of both usually depends on the desired outcome of an automation. These are our general rules for the so-called “Flows vs agents” question:  

  • Flows usually: run based on structured logic (inputs, pre-defined conditionals, set of steps), use rules and have deterministic outcome (e.g. fill out a template, create a new client, notify someone) 
  • Agents usually: work based on unstructured logic (natural language, prompts, instructions), use context to decide, plan or answer and act based on Intent-based and may have dynamic outcome

The answer to this question is all consultants’ favorite answer: “it depends”. Power Automate has what’s known as “connectors” to allow connection to multiple apps and systems. The type of connectors will define the required licensing to run automations. 

  • Standard connectors: can be used as an extension of your current Microsoft 365 subscription and do not require additional licenses to be purchased. 

Some examples of these are: SharePoint, Outlook, Planner, Microsoft Teams, Microsoft Excel. 

  • Premium connectors: additional licensing of 15 USD/month/user is required to use these connectors. 

Some examples of these are: Microsoft Word, Dataverse, Azure Entra ID
