Supplier Delivery Portal

We partnered with a manufacturing company in North America to modernize how supplier deliveries were reported: through our Microsoft Power Pages consulting services, we designed and implemented a Supplier Delivery Portal using Microsoft Power Pages, Power Automate and Dataverse, allowing suppliers to securely access their purchase orders and submit delivery confirmations through an external website. All the data was synchronized with the company’s ERP system through Dataverse dataflows, allowing for almost real-time visibility for all parties (for suppliers, operations, and finance teams).

What is Power Pages?

Microsoft’s official definition is a “Microsoft Power Pages is a secure, enterprise-grade, low-code software as a service (SaaS) platform for creating, hosting, and administering modern external-facing business websites. With Power Pages, you can build sites by using the same shared business data stored in Microsoft Dataverse that you use for building apps, workflows, intelligent virtual agents, reports, and analytics with other Microsoft Power Platform components in your organization.”.  

The main key points from Microsoft’s definitions are: 

  • External-facing business websites: the main focus of Power Pages is to extend automation to external users, so all the portals created in Power Pages can be set up to be accessed externally by users outside the organization. 
  • Business data stored in Dataverse: Power Pages data is directly connected to Dataverse tables and portals leverage all the concepts of security, access control and database management in Dataverse 
  • Connect with other Power Platform components: Power Pages can be extended with other Power Platform products. Power Automate workflows can be added in the back-end to support notifications, data syncs or more complex orchestrations. 

Power Apps is mainly for internal use, mainly for users with accounts under a specific tenant (they have a Microsoft 365 subscription). Some well-known use cases for Power Apps are: 

  • Vacation requests 
  • Overtime approval 
  • Timesheet submissions 
  • CAPEX Management and Project Tracking 
  • Customer Relationship Management platform  
  • Accounts Payable or Invoice Processing 

Power Pages is the Power Platform tool for creating customer-facing websites, those that usually target external users to use it, like customers or suppliers. If someone outside the organization needs to interact with your business, Power Pages is the perfect tool for this purpose. Some use cases for Power Pages are: 

  • Portal for submitting support requests for a Managed IT Services providers 
  • Self-service customer portals (download invoices, view order history) 
  • Self-service supplier portals (update purchase order delivery status, upload invoices, view payment status) 
  • Insurance claims intake

Power Pages supports different authentication methods: 

  • Azure Active Directory (Microsoft Entra ID) for internal users 
  • Traditional user name and password  
  • External identity providers (Azure AD B2C, Google, LinkedIn, etc.) 

Access to data, forms and views is controlled using: 

  • Web Roles (anonymous users, authenticated users and admin users) 
  • Table Permissions (tables created in Dataverse are connected to the portal and the access to the data in the tables is defined from the Power Pages studio: users can access their own data, data created by others in the same account/organization or they can see all the data in the table) 
  • Dataverse security and the common data service concepts are leveraged when Power Pages is used (contacts, accounts, security roles). 

Power Pages licensing is based mainly on the decision of “Will my users need to sign in to use the portal?” (ie, will they need user name and password to access data or to submit information?). 

  • If users need to sign in: the monthly price is 200 USD / month per 100 signed in users. This price is paid yearly.  
  • If users do not need to sign in: the monthly price is 75 USD / month per 500 users that visit the site. This price is paid yearly. 
  • If you’re just trying out Power Pages, a portal can be created at no charge and can be used for free for 30 days.

We have an average POC (proof of concept) turnaround time of 6-12 weeks for Power Pages projects, but this can vary depending on the complexity of the website that is being built and the automations or apps that will run internally to support the external process.  

Our team of Power Pages consultants usually start by prototyping a Figma mockup to bring the initial idea of the website to life and to align requirements and expectations. Once approved, we design the data model and then start developing the portal and adding customizations with JavaScript, CSS and Liquid. Very quickly, we will deliver an initial version of the website to start testing so you or your team can provide continuous rounds of feedback until it’s ready for deployment. 

To start with Power Pages, you need the following: 

  • Microsoft 365 license (organization or education account). 
  • Identify a digitalization scenario (or we can work together to assess and prioritize one). 
  • Power Pages add-on (starting at 75 USD per month depending on the website type). 
  • Power Automate license(s) for some use cases if back-end processes are required to support the external website 
  • Power Apps license(s) if a Dataverse app is required to manage the process internally. 
  • Access to an Admin account in the tenant. Power Pages portals create some Azure resources in the backend, so an Admin is required to perform the action process.
